Event Policies


Registration and payment for the event are made via the online registration process through the event website or event participants portal website.

Payment options are currently limited to electronic bank transfers. However, event organisation team is working on to provide a payment option with credit card. If this option becomes available, the credit cards accepted will be Visa or MasterCard.

A confirmation email for preregistrations will be forwarded to the registrant within the same day of the pre-registration. The email message will confirm that the pre-registration has been received and also this message will include the link to the participants event portal website together with the registration PNR and a special access key.

Once, the organisation team reviews the pre-registration and confirms the participant information, a new attendance confirmation email message will be sent to the participant to their registered email addresses.

Payments shall be done and received by the organisation team in 10 days after the participation confirmation email was sent.

However, regardless of the registration date and time, all event payments should be completed by December 10, 2024, 17:00

If you want to cancel your registration to the event and also request a refund, you need to contact the organisation team in writing via email or via the contact form on the event website.

- You can cancel your registration at anytime until October 31, 2024, 17:00, and get a full refund for all the payments done.

- All refund payments will be done with the same method used by the registrant unless requested otherwise and only if the requested options are available for the organisation team.

- After October 31, 2024, 17:00, you can still cancel your registration and participation but due to the finalised contracts with the hotel/venue and the organisation agency, a partial or full refund will not be possible.

Should you no longer be able to attend, you may transfer your registration to another member or colleague of the paying organisation at no extra cost.
However, the last day for the event registration/participation transfer is November 31, 2024, 17:00.

- If a registered participant fails to attend the event, the event registration fees will not be refunded or allocated to another similar event organised by the same parties.

- Organisation parties reserve the right to cancel, postpone or reschedule events due to low enrolments or unforeseen or other circumstances which would make the event non-viable.

- If an event has been cancelled by organisation parties, registrants will be offered a full refund within 30 days and notified via email.

- Should circumstances arise that result in the postponement of an event, registrants will have the option to either receive a full refund and/or transfer registration to the same event at the new, future date, if available.

This privacy policy helps you to understand what Personal Information and non-personal information we collect, and how we use it.

  • To reserve a place for you at the event(s) you requested to attend;
  • To provide you with information about the event(s) for which you have registered, such as event updates, and possible changes, cancellation or similar information;
  • For general administration and organisation of our events, for example to contact you with information about an event or conference that you are participating, or attending as we need to use your details for planning and logistics, to invoice you, to provide you customer service in relation to the event, and general administration of your attendance at the event.
  • To fulfil and monitor our legal responsibilities, for example, under public safety legislation;
  • In accordance with your preferences, to communicate with you about other events, news, and services we provide;
  • To ask you for your feedback or review after an Event you have attended;
  • To pass on your contact details to our event parties to enhance your experience at an Event you have registered;
  • To improve our services and event participants experiences; and
  • To plan better future events and attendee experience.


Who will your personal data be shared with?
Within Spetron IT, your personal data is shared only with those departments and staff who need access for the processing purposes set out above.
However, we may share some of the information to provide a better experience for you with external parties providing services and facilities for the event you are attending (venue/hotel management, organisation agency, transfer services company, and similar). The information shared will only be used to provide the services required.

We also use external service providers to provide technical solutions or services for processing stored information and access the stored information by using a technical interface and share your personally information with third-party service providers to the extent that it is reasonably necessary to perform, improve or maintain the Services. We use third-party service providers, such as e-mail service providers, credit card processors, information analyzers and business intelligence providers. We have the rights to share Personal Information as necessary for the aforementioned service providers to provide and perform event services to the participants. Spetron IT is not liable for the acts and omissions of these third parties. Spetron IT may host the Services in and transfer Personal Information for this purpose to countries outside the European Union or the European Economic Area in accordance with mandatory legislation and this Privacy Policy.

How long is your personal data kept?
We will only retain your personal data for as long as reasonably necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, regulatory, tax, accounting or reporting requirements. We may retain your personal data for a longer period in the event of a complaint or if we reasonably believe there is a prospect of litigation in respect to our relationship with you.

We commit to adhere to the applicable laws and regulations pertaining to processing of Personal Information, as well as to process Personal Information in compliance with good processing practices. All staff of the organisation parties processing Personal Information are obliged to keep such information strictly confidential.

The applicable legal basis for the processing of Personal Information depends on the circumstances relating to the relevant processing activities, as further described below:
Generally, for EU countries, GDPR art. 6(1)(a), 6(1)(b), 6(1)(c), 6(1)(d), 6(1)(f); and for Turkiye the KVKK articles serve as the legal basis for processing operations.

What information we collect?
- Information you give to us on registration forms, and the event portal,
- Technically gathered information when you use our services,
- Information from third parties in relation to our services.

We collect personal information that you give to us, for example, when you use our services. This information may include your full name, contact phone, email and similar.

We may also collect non-personal information on your activities in the services, such as your IP address, and date/time of your requests or actions in the websites, and referring website addresses, operating system version, browser type, and language.

We retain the Personal Information collected pursuant to this Privacy Policy for the period necessary to fulfil the purposes outlined in this Privacy Policy unless a longer retention period is required or permitted by law.
The criteria used to determine the period of storage of Personal Information is depends on the applicable legal basis for the processing of Personal Information: e.g.
- where the processing of Personal Information is necessary for the performance of a contract, we retain the Personal Information as long as it is necessary for the fulfillment of the contract or the initiation of a contract;
- or, where the processing of Personal Information is necessary for complying with a legal obligation, we retain the Personal Information for the respective statutory retention period;
- or, where the processing of Personal Information is permissible for the purposes of the legitimate interests pursued by us, such as marketing of new events, we retain the Personal Information as long as it is permitted by law.

Thereafter, if the collected Personal Information is no longer needed for purposes specified in this Privacy Policy, we will delete Personal Information in its possession within a reasonable timeframe or render it anonymous, meaning "non-personal information".

You may contact us and we will inform what Personal Information we have collected and processed regarding you and the purposes such data are used for.
You have the right to have corrected any incorrect, incomplete, outdated, or unnecessary Personal Information stored about you by contacting us.

You may also ask us to delete your Personal Information from our systems. We will comply with such request unless we have a legitimate ground to not delete the data. After the data has been deleted, we may not immediately be able to delete all residual copies from all our systems. Such copies shall be deleted as soon as reasonably possible.
You may request us to restrict processing of certain Personal Information, this may however lead to fewer possibilities to use our website and other Services.

- Older adults and people of all ages with serious underlying medical conditions may be at higher risk of death or severe illness from COVID-19. You understand and agree that you will evaluate your risk in determining whether to attend the event.

- you understand that the event for which you register shall be presented in accordance with applicable public and official health requirements as of the date of such event; such requirements may include, without limitation, changes to the venue, event dates, capacity, attendance procedures, and other protective measures or even event cancellation.
